From Field to Container: How an Indian Food Export Shipment Is Prepared

A reliable export order is built from a defined product requirement and clear records through sourcing, processing, packing and dispatch. The exact steps vary by commodity, facility, destination and contract, so buyers should ask how each step applies to their lot.

1. Define the buyer specification

Start with product identity, form, grade, measurable quality limits, packaging, quantity, destination and required tests. Agree on a representative sample and acceptance process before confirming the order.

2. Source and identify the lot

Ask the supplier what sourcing or origin records can be provided for the lot. Where traceability is important, agree on batch identification and how sourcing records connect to the goods being offered.

3. Clean, grade and inspect

Processing steps depend on the commodity. They may include cleaning, sorting, grading or other preparation. Buyers should confirm which steps are performed and which quality checks verify the agreed specification.

4. Pack and mark the shipment

Confirm bag material, net weight, liners if required, sealing, shipping marks and destination labelling. Ensure the packing list and shipment records reflect the actual goods and package count.

5. Complete testing and documents

Depending on product and destination, testing and documentation may include a certificate of analysis, origin documentation, phytosanitary or fumigation documents where applicable, and transport paperwork. Verify current requirements for the exact commodity and market.

6. Coordinate loading and dispatch

Confirm cargo readiness, container suitability, loading plan, booking, cut-off dates, inspection arrangements and shipping instructions. The final shipment plan should match the contract, approved specification and logistics booking.
